The starting point
An industrial supplies distributor with 12 sales reps received orders via WhatsApp, phone and email. The reps spent the first two hours of every day manually entering orders into the ERP. More than 50% of the working day went on admin tasks, not selling.
The solution we deployed
We connected an automated assistant to the main WhatsApp number. The system identifies the customer by phone number and tax ID, recognises catalogue references, checks stock and pricing in real time, creates the order in the ERP and notifies the account rep. The rep only steps in for exceptions: a new customer, an off-catalogue product or a special discount approval.
How we did it
Six weeks. Analysis of typical order patterns, connection to the ERP, training the assistant on the full catalogue and each customer's naming conventions, real-time stock and price validation, and progressive customer-by-customer rollout under supervision.
The verified results
Each sales rep recovered between 90 minutes and 2 hours a day. Order-handling capacity grew 25% without adding headcount. Manual transcription errors disappeared. The reps now spend those hours on proactive selling and premium account care.
